Corporate Secretariat Vice Presidency (SECVP)
The Corporate Secretariat Vice Presidency (SECVP) of the World Bank Group supports the Board of Governors and the Executive Directors of IBRD, IDA, IFC and MIGA in executing their fiduciary and governance responsibilities. SEC, therefore, is unique in working across all the World Bank Group institutions (IBRD, IDA, IFC, MIGA, and ICSID) and serves as the key interlocutor between the Board of Governors, the Executive Directors, and the President on the one hand and Senior operational Management and staff on the other hand. SEC's primary purpose is to facilitate effective, efficient, and strategically focused interactions between the Board and Management to achieve the World Bank Group's overall mission of poverty reduction.
The Policy and Operations unit of the Secretariat (SECPO) is responsible for managing the work program of the Board and the Board standing committees (Audit, Budget, Development Effectiveness, Governance and Administrative Matters, and Human Resources), Board and Committee meetings, and generally facilitating efficient and effective decision-making and enhancing communication and partnership between the Board, Management, and staff, and supporting and advancing the corporate governance agenda.
Duties and Responsibilities
Success in this position requires interest in corporate governance, institutional and organizational policies, ability to work with and develop operational processes and procedures, and acceptance of a high degree of process-related work.
The incumbents' work will include (but may not be limited to):
Helping to manage the Executive Board's and Committees' schedule, including frequent communication with various teams across the WBG, offices of the Executive Directors, Corporate Secretariat VP, IT and GCS. Preparation of daily calendars to be updated continuously.
Preparation of Corporate Secretariat emails to the Board, with attention to detail, quality and consistency.
Organizing and preparing for various meetings or events related to the Dean of the Board, external speakers, President's office, Committee of the Whole, Board retreats, including President's Strategic Engagements, etc., as related to logistics, coordination, and communication.
Support the work of the Steering Committee's Secretary, including coordinating meetings and venues, preparing attendance list, and helping draft the steering committee report.
Review and monitor project pipeline submitted to the Board through the Board Operations System (BOS) from IFC, MIGA, IBRD, and IDA based on the mission and role of the Secretariat and for ensuring adherence to Corporate Governance processes. Under the guidance of SECPO management, responsible for assigning staff for document reviews.
Support innovation and modernization work within SECPO, including the simplification and automation of business processes to enhance the effectiveness and efficiency of SECPO services to its various client groups.
Responsible for the administrative functions related to coordinating staff at the A2D level and new hires, under the supervision of the SECPO managers. This may include, but not limited to, HR and logistics functions.
Support the work of the SECVP office and other SEC units related to Spring and Annual Meetings, as requested.
Selection Criteria
- Relevant degree in a discipline pertinent to the Bank's mission or combination of education and at least 5 years of appropriate experience, preferably at the World Bank Group.
- Proven ability to research, conceptualize and effectively present information.
- Excellent judgment in discerning what is most pertinent to a given research query and what is of good quality.
- Sound understanding of the World Bank Group corporate and governance structure. Previous experience or intellectual interest in corporate governance or legislative committees is desirable.
- Comfortable working in a fast-moving environment under tight deadlines and handling multiple concurrent and equally important tasks.
- Excellent organization skills. Takes initiative and demonstrates innovation. Ability to see the big picture, while maintaining strong attention to detail and accuracy.
- Sensitivity and clarity in writing, communication and other inter-personal skills.
- Strong proclivity for teamwork including an open and collegial work style and a high energy level.
- Tact, discretion and diplomatic skills to deal with sensitive or confidential issues. Ability to engage diplomatically with senior staff and Board members.
